Tips for organizers and hosts

Organizers are the people who regularly schedule, fill, and run clinics. Organizers usually receive 100% of the revenue from the audience and participate in the clinic free of charge as compensation for their work.

​

The host is the contact person responsible for the location of the clinic. He/she is responsible for the various tasks related to the management of the horses and the infrastructure during the course. The host can be paid for the use of the facilities or invited to participate in the course free of charge.

You can also organize and host at your place.

What are my duties as an organizer?

​

The organizer is the person directly in contact with me to prepare the clinic. You will be the contact person listed on the events page of this site.

Here is a list to give you an idea of the steps to take:

1. Find a host who is willing to host at their facility. If you need help, you can ask me.

2. Find a date and time when the facility and I are available for a clinic.

3. Reserve the facilities and sign a rental agreement.

4. Reserve the dates of the clinic with me.

5. Provide me with a list of information (address, facilities, details of accommodation for horses, what to bring, etc) that I can post on my website.

6. Advertise to inform people if necessary.

7. Answer questions, take reservations from participants and auditors, and send out registration documents and details.

8. Prior to the course, prepare to welcome participants and the public to the venue.

9. After the clinic, clean up and pay for the rental of the facilities before leaving the venue.

What are my duties as a host?

​

If you only want to be a host, you will need to find an organizer. Feel free to contact me to broaden your search. You can also be a host and an organizer.

You will need to provide the details of the facilities, conditions and fees for the rental and accommodation to the organizer. When the course is scheduled, you will be responsible for receiving reservations and payments for the accommodation of the horses. During the course, you will be present to welcome the horses and visitors. You will also be available in case of emergency.

How much should I charge the audience?

​

The price for spectators often varies between 15€ and 30€/day, but this is at the discretion of the organizer. A discount can be offered if you book for several days or before a particular date. Participants can also receive tickets to distribute or resell.

What does volunteering involve?

​

There are always people ready to help during the training courses (preparation of the arena, picking up poops, reception, ...). You can arrange in advance to have one or more volunteers to help. In exchange for their work, volunteers audition for the clinic for free.

How much should I ask the participants for a deposit?

​

I recommend that you ask for a deposit of 50% of the price between 8 and 4 weeks before the workshop date. The deposit can be returned up to 30 days before the workshop with a non-voluntary cancellation letter and ideally a substitute candidate. You can open a waiting list so that you can easily contact a potential replacement in case of cancellation.

You can also offer a discount on the price for participants who pay the full price before a certain date.
